Refund Policy
Last Updated: August 31, 2026
This Refund Policy applies to services provided by The Certified Society LLC, including notary services, apostille and authentication processing assistance, translation services, typing and clerical services, document and administrative support, ITIN/EIN administrative assistance, business filing assistance, mobile services, shipping and document handling, and other non-legal administrative services.
By purchasing, scheduling, or requesting services from The Certified Society LLC, you acknowledge and agree to this Refund Policy.
1. SERVICES ALREADY PERFORMED Payments attributable to services that have already been performed or completed are non-refundable to the extent permitted by law. A service may be considered performed or completed when, as applicable: • A notarial act has been performed. • A translation has been completed. • Typing, formatting, clerical, or administrative work requested by the client has been completed. • Documents have been submitted for apostille, authentication, legalization, filing, shipping, or other processing. • Research, document review, administrative assistance, or other time-based work has been performed. • A completed digital document has been delivered to the client. Payment is for the service performed and not for a guaranteed government or third-party outcome.
2. DEPOSITS & WORK IN PROGRESS Deposits may become non-refundable once work begins, an appointment is reserved, travel begins, third-party expenses are incurred, or resources are committed to the client’s service. If a client cancels after work has begun, amounts attributable to work already performed and costs already incurred are non-refundable. Any refund of an unused portion, when applicable, will be determined based on the circumstances of the service and applicable law.
3. GOVERNMENT OR THIRD-PARTY REJECTIONS The Certified Society LLC does not guarantee acceptance, approval, certification, authentication, issuance, or any particular result from a government agency or third party. A denial, rejection, delay, request for additional documentation, change in requirements, or refusal by USCIS, the IRS, Texas Secretary of State, U.S. Department of State, county clerks, embassies, consulates, foreign governments, courts, shipping carriers, or other third parties does not automatically qualify the client for a refund. If additional work is required because a government agency or third party changes its requirements or requests additional documentation, additional fees may apply.
4. CLIENT-PROVIDED ERRORS Clients are responsible for providing complete and accurate information and reviewing documents before approval, signing, notarization, shipment, filing, or submission. The Certified Society LLC is not responsible for errors resulting from inaccurate, incomplete, misspelled, outdated, or incorrect information supplied or approved by the client. Corrections, reprocessing, resubmissions, additional translations, new documents, or additional work resulting from client-provided errors may require additional payment.
5. ERRORS BY THE CERTIFIED SOCIETY LLC If The Certified Society LLC makes a clerical or administrative error within the scope of the service purchased, we will make a reasonable effort to correct that error without charging the client an additional service fee. This does not include changes requested by the client after approval, errors contained in information supplied or approved by the client, changed government requirements, or third-party decisions outside our control.
6. DIGITAL DELIVERY Once a completed translation, typed document, administrative document, or other digital work product has been delivered electronically by email, text, download, upload, PDF, or another agreed delivery method, the service is considered delivered. Choosing not to use a completed document after delivery does not automatically entitle the client to a refund.
7. APOSTILLE & AUTHENTICATION SERVICES Apostille, authentication, and legalization fees compensate The Certified Society LLC for the processing and administrative services performed. Government agencies and foreign authorities independently determine whether documents satisfy their requirements. Once processing work has begun or documents have been submitted, service fees attributable to work already performed are non-refundable. Government fees, courier expenses, shipping charges, consular fees, and other third-party expenses already incurred are non-refundable except where the applicable third party provides a refund.
8. RUSH & EXPEDITED SERVICES Rush, same-day, next-day, and expedited-service fees compensate The Certified Society LLC for prioritizing the portion of the service within our control. Expedited service does not guarantee the processing time of a government agency, Secretary of State, U.S. Department of State, embassy, consulate, shipping carrier, or other third party. Once expedited work has begun or priority resources have been committed, the expedited-service fee is non-refundable to the extent permitted by law.
9. APPOINTMENTS, TRAVEL & MOBILE SERVICES Travel, mileage, convenience, parking, and mobile-service charges may be non-refundable once travel has begun or the expense has been incurred. Clients are responsible for providing the correct appointment address and ensuring that required signers, identification, witnesses, and documents are available. Missed appointments, last-minute cancellations, excessive waiting time, or additional trips may result in additional charges when disclosed to the client. Notarial fees themselves are charged in accordance with applicable Texas law.
10. SHIPPING & COURIER SERVICES Shipping, postage, courier, and delivery charges already incurred are non-refundable. Once documents have been transferred to USPS, FedEx, UPS, DHL, a courier, or another independent carrier, delivery is subject to that carrier’s policies and operations. The Certified Society LLC is not responsible for delays, weather disruptions, misrouting, theft, loss, or damage occurring outside our reasonable control. Any available carrier claim or reimbursement will be subject to the carrier’s applicable policies.
11. ADDITIONAL OR CHANGED SERVICES A client’s request to change the original scope of work, prepare additional documents, provide additional translations, make client-requested revisions, resubmit documents, perform additional research, make an additional trip, or perform other work outside the original service may require additional payment. The client will be informed of additional charges when reasonably practicable before the additional work is performed.
12. TIME-BASED SERVICES Fees for administrative assistance, document review, research, consultations, document handling, communications, or other time-based services are non-refundable once the applicable work or time has been provided.
13. GOVERNMENT, SHIPPING & THIRD-PARTY FEES Government filing fees, Secretary of State fees, consular fees, postage, shipping, courier fees, and other third-party charges are generally non-refundable once paid or incurred unless the applicable government agency or third party refunds the charge. The Certified Society LLC does not control third-party refund policies.
14. PAYMENT DISPUTES If you believe you were charged incorrectly or believe there is a problem with a service, please contact The Certified Society LLC promptly so that we have an opportunity to review and address the matter. Nothing in this Refund Policy limits any consumer, payment-card, or other legal right that cannot lawfully be waived.
15. NO GUARANTEE OF OUTCOME Payment is for the professional or administrative service requested and performed. The Certified Society LLC does not guarantee government approval, acceptance, apostille issuance, authentication, certification, processing time, delivery time, filing outcome, or acceptance by a receiving party. A result outside our control does not, by itself, create a right to a refund.
16. RELATIONSHIP TO TERMS & CONDITIONS
This Refund Policy is incorporated into and should be read together with The Certified Society LLC Terms & Conditions.
If a service-specific written agreement contains different refund or cancellation provisions, those provisions will apply to that specific service to the extent stated in the agreement.
